1. Scope

This Privacy Policy explains how [T6-technology] (“we”, “us”, “the School”) collects, uses, stores, and shares personal data through its WhatsApp Business account and the related Meta app “[T6-Tech]” (the “App”). The App is an internal school operations assistant for authorised staff. It is not a public consumer product.

This page is the App’s privacy policy. Opening this URL should show this policy directly, with no login required.

2. Data we collect

When you message the App on WhatsApp, or when authorised staff use the App on the School’s behalf, we may process:

• Contact identifiers: WhatsApp phone number, WhatsApp profile name, staff name, and role (for example principal or teacher).
• Message content: text, button replies, images, and files such as exam papers or anniversary-plan PDFs.
• School operations data: anniversary-plan items, progress notes, approval status, and principal feedback.
• Exam and student assessment data: student name, class, student number, academic year, subject, exam name, answers, and related marking information extracted from files uploaded by authorised staff. This is school operational data and is handled only by authorised personnel.
• Technical and security data: WhatsApp message IDs (wamid), timestamps, session state, and webhook metadata used for deduplication and troubleshooting.
• Messages from non-authorised numbers: if a message comes from a phone number that is not on the staff allowlist, we may log the number, contact name, and content in order to refuse service and for security review. Those senders do not receive the App’s school features.

We do not ask for payment card details and we do not sell goods through the App.

3. Sources of data

• Content you or authorised staff send via WhatsApp (Meta WhatsApp Cloud API).
• Staff name, phone number, and role pre-registered by the School on an allowlist.
• School documents uploaded by staff (for example anniversary plans and exam PDFs).

4. How we use data

We use data only for internal school operations, including to:

• Verify that the sender is authorised staff and provide query, update, or approval features according to role.
• Answer knowledge-base questions on school rules, administration, and curriculum.
• Process anniversary-plan progress, approvals, and related document import.
• Process exam document import, result extraction, and report generation.
• Keep conversation context, prevent duplicate processing of the same WhatsApp message, and support security and troubleshooting.

Message content may be analysed by the School’s self-hosted language-model and knowledge-base systems so that we can classify intent and generate replies. This analysis is performed in the School’s operating environment and is not used to build public profiles or to advertise to individuals.

5. How we share data

We do not sell personal data. To operate the App, data may be processed as follows:

• Meta Platforms, Inc. and affiliates: messages are transmitted through WhatsApp / the WhatsApp Cloud API. Meta processes that transmission under its own terms and privacy policy. The App receives webhook events and sends replies through the Meta developer platform.
• Cloud infrastructure (Amazon Web Services): inbound WhatsApp events may pass briefly through a webhook and message queue so the School’s systems can receive them.
• School-operated systems: data is stored in the School’s database and may be processed by the School’s knowledge-base / language-model environment to provide the features above.
• Legal requirements: we may disclose data if required by law, a regulator, or school governance rules.

Authorised principals and teachers can access only the features and data that match their role.

6. Storage and retention

Operational records are stored primarily in the School’s environment. Webhook payloads that pass through AWS are for transit and short-lived queuing, not long-term archiving. We retain data as needed for school operations and applicable law, including the staff allowlist, conversation history, anniversary-plan records, and exam-related files. When data is no longer needed, or when you make a valid deletion request that the law allows, we delete or anonymise it.

7. Your rights and data deletion

Subject to applicable law (including Hong Kong’s Personal Data (Privacy) Ordinance where it applies), you may ask us to:

• access personal data we hold about you;
• correct inaccurate data;
• delete conversation or account records linked to your WhatsApp number (except school records we are required to keep, which may include student assessment files).

Email [t6.technology@t6group.com] with your WhatsApp number and the request. We may need to verify your identity. Students or parents/guardians who need access to or correction of assessment data should follow the School’s existing administrative process.

8. Children and student data

The App is for staff. It is not designed for children to register or chat directly. Exam features may process student assessment and identifying data uploaded and queried by authorised staff in the course of their duties, subject to school rules and applicable privacy law.

9. Security

Access to the App is limited by an allowlist. We use technical measures (including encryption in transit, access control, and message deduplication) to reduce unauthorised access. No system is perfectly secure. If you suspect a data incident, contact us immediately at the email below.

10. Third-party services

WhatsApp is a separate service provided by Meta. Your use of WhatsApp is also governed by Meta / WhatsApp terms and privacy policies. This Policy covers only processing that the School controls as operator of the App.

11. Changes

We may update this Policy from time to time. The updated version will be published on this page with a revised effective date. Continued use of the App means you are aware of the updated Policy.
